CoBalance

Last updated: 06/18/26

Privacy at a Glance
  • Adults only (18+): CoBalance is for users who are at least 18 years old. We do not knowingly collect personal information from anyone under 18 for their own use of the Service.
  • Privacy-First: You can start using CoBalance as a guest without an email or legal name.
  • No Data Selling: We make money from subscriptions, not your data. We will never sell your info or show you third-party ads.
  • The Firewall: Your child support and variable expenses are kept in separate digital “vaults” to keep your accounting clean for court.
  • Bank-Level Security: Payments are handled by a licensed third-party payment processor. We never see or store your bank login or full account numbers.

This Privacy Policy explains how CoBalance LLC (“CoBalance,” “we,” “us,” “our”) collects, uses, and shares information when you use the CoBalance mobile app and related services (the “Service”). If you have questions, contact us at legal@cobalance.com.

Who may use the Service: The Service is intended for adults who are at least 18 years old. Our Terms of Service require that you meet this age requirement to use CoBalance, including when you use the app as a guest.

1. What CoBalance does

CoBalance helps co-parents track shared child-related expenses and court-ordered support, attach receipts, maintain an audit trail, send notifications, and (if enabled) make ACH bank payments through a payment processor. CoBalance is designed with a “Support Firewall” concept: fixed obligations (e.g., child support/alimony) are tracked separately from shared variable expenses.

Strict Data Separation: To maintain legal integrity, CoBalance enforces a “Support Firewall.” Information categorized as “Child Support” is processed and stored through a distinct logic flow from “Shared Expenses” to ensure your court-ordered accounting remains untainted by daily reimbursements.

2. Information we collect

2.1 Information you provide

  • Guest Data: If you use CoBalance without creating an account, we store your entered nicknames and expense data either locally on your device only, or server-side associated with an anonymous authentication identifier. If stored server-side anonymously, this data may later be linked to your account when you upgrade. This allows you to “try before you buy” with total privacy.
  • Account information: Name (first/last), email address, and authentication tokens from providers (Apple/Google). We do not collect or store profile photos or biometric data.
  • Co-parent and household (“unit”) information: a co-parent display name you choose, invite details (such as the email you invite and/or an invite code), and shared household/unit identifiers.
  • Children profiles: child name/nickname and an avatar selection (such as an emoji). You control what you enter.
  • Expenses and support records: expense titles, categories, amounts, dates, split ratios, which children an item relates to, status (e.g., pending/paid/disputed/archived), dispute messages, and related audit-trail events (e.g., created/edited/status changes).
  • Receipts: Users may voluntarily upload images (photos or gallery selections) as evidence for expenses. These images are stored securely and are not subjected to automated scanning, OCR, or AI parsing by CoBalance. They are treated as static attachments to your financial records.
  • Communications preferences: notification preferences (push/email), and other settings you choose.
  • Support requests: information you send to customer support (e.g., emails, screenshots, or other details).

2.2 Information collected automatically

  • Device and app information: device type, operating system, app version, language, time zone, and identifiers needed for basic functionality and security.
  • Log and security data: timestamps and diagnostic logs used to operate, secure, and troubleshoot the Service. Service providers may log IP address for security and fraud prevention.
  • Push notification tokens: device push tokens (e.g., APNs/FCM tokens) so we can deliver push notifications if you enable them.

2.3 Payments and subscriptions (processed by third parties)

If you use payments or subscriptions, they are handled by third-party providers:

  • Payments (ACH): a third-party payment processor (including payout account setup and identity verification)
  • Subscriptions (Premium): Apple App Store / Google Play in-app purchase, and a subscription management provider. We store entitlement status such as whether Premium is active.

We may store limited related information such as:

  • Payment records: transaction amount, status (processing/succeeded/failed/canceled), timestamps, and processor identifiers (e.g., payment intent/transfer IDs).
  • Account linkage identifiers: processor account/customer IDs needed to enable payouts or bank debits.
  • Subscription status: whether you are on a free tier or premium tier and the current status (e.g., active, canceled).

We do not receive or store your full bank account credentials. Your bank connection and sensitive payment details are collected and stored by the payment processor under their policies.

User-Owned Payment Accounts: When you enable payments, you connect a payout account through our payment processor to receive funds. CoBalance facilitates the connection, but your sensitive bank details are handled by the payment processor under their policies.

3. How we use information

We use information to:

  • Provide and operate the Service: create accounts, sync household/unit data between co-parents, show balances, store receipts, generate reports/PDF exports, and deliver core features.
  • Communicate with you: we may send emails if enabled, and send push notifications (e.g., expense updates, payment updates, support reminders) based on your preferences.
  • Payments and subscriptions: enable payment and subscription workflows, maintain records, and provide customer support related to billing.
  • Security and integrity: prevent fraud, abuse, and unauthorized access; enforce our terms; protect the safety of users.
  • Improve the Service: troubleshoot bugs, analyze performance, and develop new features.
  • Legal compliance: comply with applicable laws, lawful requests, and respond to disputes or claims.
4. How information is shared

4.1 Sharing with your co-parent

If you connect with a co-parent, information you enter into a shared household/unit (such as expenses, support records, receipts, and audit-trail events) will be visible to the other co-parent in that same unit.

4.2 Service providers (processors)

We use trusted third-party vendors to help provide the Service. These providers are authorized to use your information only as necessary to provide these services to us:

  • Infrastructure and Storage: secure cloud infrastructure providers to host the Service and store your data, including records and receipt images.
  • Payments (ACH): a third-party payment processor (including payout account setup and identity verification)
  • Subscriptions (Premium): app store billing (Apple App Store / Google Play) and a subscription and entitlement management provider
  • Communications: service providers to deliver emails (if enabled) and push notifications (such as expense updates and support reminders).
  • Authentication: if you choose social login, your authentication is handled by your chosen provider (e.g., Apple, Google, or Facebook).

A current list of our subprocessors is available upon request at legal@cobalance.com.

4.3 Legal and safety

We may disclose information if we believe it is reasonably necessary to comply with law, respond to lawful requests, protect rights, safety, and property of CoBalance, our users, or others, and enforce our agreements.

4.4 No sale of personal information

We do not sell personal information. We do not run third-party advertising in the Service. If we add advertising or analytics that changes data practices, we will update this policy.

5. Data retention

We retain information for as long as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. Retention periods can vary based on the type of information and why it is processed.

6. Account deletion and data deletion

You can request deletion of your account and/or personal data by following the in-app instructions (if available) or by emailing legal@cobalance.com.

Data Retention & The Shared Ledger: CoBalance is designed to provide a court-ready financial audit trail for children's expenses. If you delete your account, your personal profile, contact information, and security tokens will be permanently destroyed. However, to maintain the legal integrity of the shared ledger for your co-parent and children, your name and historical transaction data (including receipt images) will be retained as an immutable record of past financial actions.

Solo households: if you are not connected to a co-parent, we may delete your unit data (children, expenses, support records) associated with your solo unit as part of deletion.

Receipts and exports: receipt images stored for your unit may be deleted as part of deletion where applicable; PDFs are generated for you to save/share and may also exist temporarily on your device.

Important: Some account deletion steps may require completing the authentication-provider deletion workflow (for example, deleting the underlying authentication account through our backend tooling or the identity provider). We will confirm when deletion is complete.

7. Your choices and rights

Access and portability: You have the right to request a copy of your personal data. To request a structured export of your information, please contact us at legal@cobalance.com. We will process verified requests within the timelines required by your local jurisdiction.

Notification controls: you can enable/disable push notifications in your device settings and manage certain notification preferences in-app.

Deletion: you can request deletion as described above.

Regional rights: depending on where you live, you may have additional rights (e.g., to request access, portability, restriction, or objection). Contact us at legal@cobalance.com.

8. Security

We use reasonable administrative, technical, and physical safeguards designed to protect information. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

9. International transfers

If you access the Service from outside the country where we operate, your information may be processed in other countries where our service providers operate. Those countries may have different data protection laws.

10. Children’s privacy and age of users

Adult users: CoBalance is for people 18 years of age or older. We do not knowingly collect personal information directly from minors for their own registration or use of the Service.

Information about children entered by a parent/guardian: The Service is not directed to children under 13 as users, but it may include information about children that an adult parent or guardian chooses to enter (such as a child’s name/nickname and avatar) for expense attribution and record-keeping. If you believe we have collected personal information from a child in violation of this policy, contact us at legal@cobalance.com.

11. Changes to this policy

We may update this Privacy Policy from time to time. We will revise the “Last updated” date and, if changes are material, provide additional notice as required.
